IT Infrastructure & Equipment Coordinator

We are seeking an Asset Coordinator to support technology operations across a large, geographically distributed organization. This position coordinates equipment changes, hardware repairs, telecommunications services, vendor dispatches, inventory, and technology-related projects across multiple locations. The ideal candidate will have hands-on IT hardware experience, strong organizational skills, and the ability to coordinate multiple vendors and service requests while communicating effectively with both technical and non-technical stakeholders.

Responsibilities

Coordinate and schedule technicians and outside service providers for installations, repairs, equipment changes, and other technology-related work at remote locations.
Track service requests and projects from initial assignment through completion, ensuring work is completed within established service expectations.
Monitor vendor performance and participate in regular service review meetings to address issues, timelines, and overall service quality.
Coordinate equipment installations, relocations, replacements, and emergency repairs involving hardware, cabling, telecommunications, and related infrastructure.
Serve as a primary point of contact for users and local leadership throughout the service request process.
Maintain accurate inventories of IT equipment and technology assets across multiple locations.
Track equipment assignments, replacements, changes, service activity, and associated costs.
Maintain accurate facility diagrams and floor plans to assist technicians with equipment installations and service work.
Review telecommunications invoices and supporting documentation for accuracy and tracking purposes.
Maintain detailed records of vendor service calls, repairs, equipment changes, costs, and resolution information.
Assist with vendor agreements, pricing reviews, procurement activities, and other documentation related to technology services.
Support the development of procedures and workflows to improve asset tracking, vendor dispatching, equipment lifecycle management, and service coordination.
Assist with technology procurement activities, including requests for pricing, proposals, and other vendor documentation.
Work closely with other members of the asset management and IT teams to provide backup support across various functions.
Assist with telecommunications circuit orders, mobile device provisioning, ticket tracking, and enterprise asset records as needed.
Identify opportunities to improve processes, communication, and service delivery.

Required Experience

Associate degree in Information Technology or a related field.
Two or more years of experience supporting IT hardware and software, including installation, maintenance, troubleshooting, or operational support.
Working knowledge of Microsoft Office, particularly Excel, Word, SharePoint, and OneDrive.
Strong organizational and time-management skills with the ability to manage multiple requests and projects simultaneously.
Excellent written and verbal communication skills.
Ability to communicate effectively with vendors, technicians, IT personnel, and non-technical users.
Strong attention to detail and accuracy when tracking equipment, service requests, invoices, and project information.
Ability to work independently, follow established processes, and take ownership of assigned responsibilities.
Comfortable coordinating work across multiple locations and with outside service providers.

Preferred Experience

Experience coordinating IT assets, equipment, facilities technology, or telecommunications services. Experience working with vendors and monitoring service-level expectations. Experience with inventory or enterprise asset management systems. Familiarity with Microsoft Visio or similar diagramming software. Experience working with spreadsheets and tracking tools to monitor projects, costs, inventory, or service activity. Experience supporting geographically distributed locations or field-based technical teams.
